Marketing and Program Administrator


The Marketing & Program Administrator will report to the Director of Marketing &

Communications and the Director of Programs and will play an administrative role in both



• Organize calendars and meetings for Marketing and Program Team Leadership

• Schedule travel for Marketing and Program Team Leadership

• Work closely with other Administrators within the organization


• Update FileShare with approved photos and videos

• Own Media Tracking Sheet; update on daily basis

• Send Draft Day emails (templated) on behalf of Director of Marketing & Communications

• Own and oversee Marketing meeting agendas

• Oversee meeting setup/HighFive/Owl

• Keep Marketing meeting minutes

• Keep inventory of Marketing materials (collateral / gear / supplies, etc.)

• Order Marketing materials as needed / requested by other departments

• Assist with small creative projects / updates


• Update FileShare with most recent documents

• Own and oversee Program meeting agendas

• Oversee meeting setup/HighFive/Owl

• Keep Program meeting minutes

• Manage logistics for Program retreats/meetings

• Coordinate time-off calendar (not approving time, but making sure that everyone’s

whereabouts are accounted for)

• Ship/track all Program packages


• Strong working knowledge of Microsoft Office (Excel / Outlook / PowerPoint / Teams /


• Ability to multi-task and handle the unexpected while maintaining a high level of

composure and positive attitude

• Excellent interpersonal skills

• Strong organizational and documentation skills with discipline to pay attention to details

• Discretion and confidentiality

• Experience in a nonprofit administration or support role preferred


• A highly intelligent and motivated individual with a passion for Team IMPACT’s mission

and vision

• Self-starter comfortable with working independently and as part of a team

• Experience with the Adobe Creative Suite (Acrobat / Photoshop) preferred

• Resilient and adaptable to different situations and/or conversations

• Ideal candidates will be flexible, coachable, resourceful and resilient and function well in a

fast-paced, collaborative team environment

• Strong skill set in Microsoft Office 365 tools and software, CRM (Salesforce experience

preferred), basic computer literacy and abilities
